Form Builder

Form builder basics

A form has two designers: the Form view — the canvas in the center (your form as a printable sheet) with the field palette alongside — and the Flow view, where you design what happens after submission. Selecting a field opens the inspector panel for configuring it; it closes when you're done, giving the canvas the full width back. Changes save automatically to your draft; publish when it's ready to accept submissions.

Adding fields

Click a field type in the palette, then click a spot on the canvas to place it (or drag a placed field to move it). While you place, every section ends in an empty slot; click it to add the field at the end of that section. The palette groups the field types:

TextShort text, Long text, Instructions, Email, Phone, URL
NumberNumber (with calculations and number formats)
Date & timeDate, Date range, Time
ChoiceDropdown, Checkboxes, Multiple choice
PeoplePerson list
PricingPriced items (from a rate sheet), Budget code
DocumentsFile upload, Reference document
SignatureSignature

A Checkboxes or Multiple choice field lists its options in as many columns as the field is wide. Set that with Columns on the field's Options tab, or drag the card's edge on the canvas. On a phone the options stack in one column.

Priced items lets the filler pick items and quantities from an admin-managed rate sheet (the price lists under Admin > Rate sheets) — line amounts and a subtotal compute automatically, and prices are snapshotted at submission so later rate changes never alter a submitted request. The field can offer the whole sheet, one category of it, or the category chosen in another field (a "Meal type" dropdown narrowing the menu), and its subtotal can feed calculations.

Configuring a field

Click a field on the canvas to open the inspector. It has three tabs:

  • Basic — label, placeholder, help text, whether it's required, a default value (for dropdowns and multiple choice, a default choice), and the list of options.
  • Rules — conditional visibility, calculations, number format, and whether reviewers may adjust the answer after submission (each change is recorded).
  • Advanced — auto-fill from the submitter's profile, and locking a value after it's entered.

Sections

Use the Section button in the palette to group fields under a heading. The gear next to it opens the section manager, where you can rename, recolor, reorder, and remove sections. A section can also be owned by a workflow step — it stays hidden until that step is active and is then filled in by the step's assignee (for example, a kitchen-menu section the cafeteria manager completes mid-flow).

The workflow (Flow view)

Switch to the Flow view to define what happens after a form is submitted — a vertical sequence of steps, each one of:

Decision Someone reviews and picks an outcome (approve, deny, or your own list). Each outcome routes the request onward.
Task An assignee completes work — fills a step-owned section, uploads documents, or completes a document form.
Hold Parks the request with a public status (e.g. "pending board approval") until it is released manually or by a date.
External Send a secure link to a contact outside the district to complete their part.

Steps run in order; you can also group steps to run in parallel. Decision outcomes can route different submissions down different paths — see the workflow. The Flow view checks your design as you build and flags problems (like an outcome that routes nowhere) before you can save.

Preview, settings, publish & undo

  • Preview shows the form exactly as a submitter will see it.
  • Settings opens form options in two tabs — General (name, description, category, owner, availability) and PDF (which fields and attachments appear in the printed copy).
  • Publish — a draft form is buildable and previewable but not fillable until you publish it. You can keep editing after publishing; requests already in flight are never affected.
  • Undo / redo — the toolbar buttons, or Ctrl/⌘+Z and Ctrl/⌘+Shift+Z.
