Strata Pass

Appointment passes

An appointment pass pulls a student at a set time from whoever has them then. Counselors and nurses schedule them with New pass, Later on the dashboard and follow them on its Appointments view. Anyone with Issue passes can schedule one.

Scheduling

Click New pass and choose Later (on the Appointments view, New pass opens there already). Pick the student, the date and time, and a duration. From is the room the student leaves. From starts on Me; Strata Pass keeps no schedules, so pick the teacher who will have the student then from the list of rooms at the school. To is where the student goes: a named place, your own room when the student leaves someone else's, or another room from the list. A pass never starts and ends in the same room. An optional one-line comment rides with it.

When the student leaves someone else's room, that teacher gets a bell notification and a chime as soon as you schedule it. Changing the time tells them again, and so does cancelling it. Changing only the length or the comment tells no one.

What the teacher sees

The appointment is on the teacher's Appointments view as soon as it is scheduled, as "to Counselor A" with your comment. There is no reason field anywhere; the teacher sees the destination, not why. From fifteen minutes before the time it also sits on the teacher's Active list, as Scheduled and then Due at the time. The teacher, or someone with Pass site administration, presses Send now; you do not, unless the student leaves from your own room. Send now opens 30 minutes before the appointment's time; before that it is greyed. Only you, or someone with Pass site administration, can change the appointment. You, the place it goes to, or someone with Pass site administration can cancel it; the teacher cannot, and is told when it is cancelled.

Starting and ending

The pass starts when the teacher presses Send now. Its time limit runs from the appointment's time, not from when Send now was pressed. A reminder in the teacher's bell fifteen minutes before the time goes out only if someone with Pass site administration has turned on the bell for Reminder before an appointment under Manage, Notifications; it is off unless they do. When the student arrives at your room or a place you are assigned to, mark Arrived. At a one-way place that ends the pass. At a layover, press Send back when you are done. On a round trip, or a layover once the student is sent back, the teacher marks the student Returned, or the student checks back in at the teacher's kiosk. Someone with Pass site administration can end it too. Once a pass has started it is ended, never cancelled.

Outcomes

An appointment not started five minutes after its time reads Not Left, and fifteen minutes after it reads No-Show on your Appointments view. One still not started when its time limit has run out ends as Not Started, and you get a bell notification. A cancelled appointment stays on the record as Cancelled. The Appointments tab under Reports counts each outcome.
